Running an aesthetic clinic can feel like you are spinning plates all day, while the bigger goals keep getting pushed back. Admin piles up, marketing slips, enquiries sit unanswered, and the business never quite gets the attention it needs.

That is why our Clinic Growth Unlocked session, If you missed the live session or want to revisit the key takeaways, you can watch From Overworked to Organised on demand.

From Overworked to Organised, focused on one simple truth:

You cannot grow a clinic you never get time to step back from.

Hosted by Mike Sherwood (Aesthetic Business and Marketing Coach), Georgia Watson (Creative Director at Aesthetic Web), and guest expert Kim Coetzee (Director at KCV Executives), the session explored how clinic owners can free up time, reduce overwhelm, and build growth systems that actually stick.

The real bottleneck is time

Most clinic owners do not need more ideas. They need more space.

When your day is full of low value tasks, there is no room left for the work that drives growth, like improving consultations, refining packages, building partnerships, or putting consistent marketing in place.

The solution is not longer hours. It is better structure.

The 90 minute focus block

One of the simplest habits discussed was setting aside 90 minutes each morning for focused, distraction free work that moves the business forward.

That time is for the work that is easy to postpone, but makes the biggest difference over time, like:

  • planning your week and priorities
  • improving your client journey and follow up
  • creating one strong piece of content
  • reviewing what is working and what needs tightening

Over a week, that adds up to 7.5 hours of real progress. Over a month, it becomes a noticeable shift in momentum.

How to decide what to keep and what to delegate

Delegation often feels hard because it is emotional. It can feel easier to do everything yourself than to explain it to someone else.

To make it simpler, Mike and Kim shared two quick frameworks that help clinic owners sort tasks clearly.

Must do, should do, could do

  • Must do: only you can do it
  • Should do: important, but not essential that you do it
  • Could do: repeatable tasks that can be trained and delegated

£1,000, £100, £10 tasks

  • £1,000 tasks: strategy, pricing, business development, marketing direction
  • £100 tasks: content creation, client journey improvements, reviewing numbers
  • £10 tasks: admin, inbox, scheduling, uploads, updates

Once you label tasks properly, it becomes easier to stop spending your best hours on the lowest value work.

Three ways to get support

Kim broke down the three most common support routes and how to think about them without overcomplicating it.

  • hire in house
  • use a UK freelancer or agency
  • outsource structured overseas support

There is no perfect model. There is the right fit for your clinic, your budget, and your current workload.

What this means for your marketing

From the Aesthetic Web perspective, the link is simple. When you have time and support, marketing becomes calmer and more effective.

Instead of marketing chaos, you can build a system:

  • a clear offer pathway on your website
  • strong trust signals like reviews, results, and FAQs
  • consistent content that supports what you offer
  • a follow up process that does not rely on memory

You do not need to post every day. You need a system you can keep.

One action to take this week

If you take one thing from the session, make it this:

Choose one task to delegate in the next seven days.

Not ten. One.

Then use the time you get back for the work that grows the clinic.
